Adding a New Session to Databridge

1. To start building your Timetables in Databridge, you first need to navigate to Sessions > Session Manager.




2. Clicking Session Manager will take you to the Session Manager screen. This screen will display any Sessions already on your Databridge. To add a new Session, click New Session on the right.




2.1 Clicking New Session will take you to the session building page (it is important to note that some setup is required before you can start building sessions, such as adding your Subjects, Buildings, Holiday Dates and Timetable Scales. This can all be done within your Standard Values).




3. To create your new session, you will work through the tabs at the top of the page. First is the Date & Times tab. On this tab you can use the dropdowns at the top to select the Site, Weekly Recurrence, Holiday Set, Timetable Scale, and the Start & End Date.




4. Once you have selected the relevant data, use the Timetable below to select the day and time this session will take place. In this instance Monday, Session 1 between 9-10am.




4.1If you wish for this session to start 30 minutes earlier, or perhaps 30 minutes later, or if you wish to add a break within this session, simply re-select the session and a pop-up window will open where you can edit this information then click Save. You can also remove the session here by clicking Remove Session.




5. Once you have set your date and time, you can move on to the Subject Tab. Here you can specify Type, Department, choose the Subject, and add any Subject Details notes you wish.




6. Next is the Location Tab. Using the Building/Location filter you can select the Building/Room this session will take place in.




7. The next tab, Students, is where you can select the students who will be attending this session. You have multiple filter options on the left of the page that will allow you to narrow down the list of Students appearing below, and a Search feature.




8. When you are ready to select your students, click the arrows next to their names and they will move across to the right of the screen.




9. When you have selected your students and they are on the right of the screen, you can add any notes under Timetable Notes that you wish to appear with that student’s Timetable for this session.





9.1. The three icons to the left of the student can be used as so: 

Arrow: Removes the Student from the session. 

Clock: Opens a pop-up window where you can set if this student will be starting or ending this session at a separate time to what it is scheduled at, for instance arriving 5 minutes later.



Notepad: Opens a new pop-up window where you can change the students Specific Subject and Specific Location.




10. Once you are happy with the student data you can now move on to adding your staff to the Staff Tab. The Staff Tab works very similarly to the Student Tab. Use the dropdowns to filter Staff, or search with the Search Staff feature. Clicking the Arrow will move them to the right of the screen.




11. When your staff are on the right of the screen, you will notice different options to the Student Tab. Here you can set which Staff is the Leader, Secondary Leader, Overseeing the session, set a different Start/End time like with a student using the Clock icon, and select using the dropdown if they are a student’s 1 to 1.



12. The last tab is the Finish Tab.




12.1. Here is where the system can check if your Staff, Students, or Location are clashing with any other sessions on your Databridge. To check these clashes, click the Check for Clashes button.




12.2 Once you have clicked the Check for Clashes button, a Loading window will appear.




12.3. Once the system has finished checking for any clashes, they will appear in this window. Staff clashes will show in Red, Student clashes in Green, and Location clashes in Blue.




12.4. If your screen appears as above, no clashes have been found. If you do have clashes however, you can move back to the previous tabs to fix these clashes, before re-clicking the Check for Clashes button. Once you have no clashes, click the Create Session(s) button and your Session will go live, and can be viewed back on the Session Manager page.
