Creating a Timetable Template in Databridge

1.  You may wish to create a timetable template to apply to certain classes / groups, rather than creating these timetables individually. To start this, you need to navigate to Sessions > Session Manager. This will take you to the session manager page, where you need to press  File in the top left corner, followed by Template Mode.

2. This will show you / allow you to edit your existing template, but for now, navigate to New Template Session on the right-hand side.

3. From here, you can create a template very similarly to creating a standard timetable, with the option to change the Site, and Timetable Scale – For more information on creating a Timetable Scale, we have another Step-by-Step guide on this.

4. Next, select the timeslots you would like to add by simply left clicking – For this example we will create a template adding ‘Maths’ for session 2 every Monday, Tuesday and Wednesday. Once these are selected, head to the Subject tab across the top.

5. Next, select the details of what we are scheduling for the selected time slots using the appropriate drop-down bars – Subject, location, students, staff. There will be more details on students and staff in the next step.

6. When you get to the students tab, this will default show all students, allowing you to move individual students into the session by clicking the arrow by their name. This can be filtered in several ways, as shown by the various drop-down options. For example, you may want to add all students of a certain tutor; To do this simply select the tutor from the drop-down menu, and at the top of the student list, select Add All.

7. As shown in the images above, the students then move to the right of the screen, showing they will be added. Next, navigate to the Staff tab, that works very much the same way, but with different filters.

Once you have selected the staff you want, you can select the Leading member of staff (This will be the first staff member selected by default) as well as select if any staff members will be working 1 to 1 with a student. Both these options appear on the right once the staff member has been moved across. Click Finish across the top.

8. Lastly, on the Finish tab, you simply click Create Session(s). Although the Check for clashes button is here, ignore it at this stage.

You will then receive a prompt asking if you want to make similar sessions. If you’re all done, just hit no and this will take you back to the page from step 2.

If you want to create more templates, select Yes and this will return you to step 3. Please note that the previously selected time slots will still be highlighted, so make sure to delete these by left-clicking, and selecting Remove Session.
