Event Log Reporting on Databridge

There are a few different options when it comes to reporting on your Event Logs, and this document will take you through them.

Event Log Dashboard


1. To gain an overview of the Event Logs that have been run, you can navigate to the Event Log Dashboard. To do so, navigate to Event Log > Dashboard



1.2. Clicking Dashboard will load the screen like so. This page will give you an overview of the Event Logs ran recently




2. To narrow down the information displayed, you will find 5 Filter options in the top right of the screen; Site, Student, Staff, Category, and Range




2.1. Site: If your Databridge is setup with multiple Site’s, then by clicking the Site filter, a dropdown will appear where you can narrow down your search by clicking which site you would like to pull the information from. 




2.2. Student: Clicking the Student filter will open a dropdown of the student’s that have had an Event Log created against them. If a student doesn’t appear in this list, they do not have any Event Logs recorded. 




2.3. Staff: Clicking the Staff filter will open a dropdown of the staff that have created an Event Log. If a member of staff doesn’t appear on this list, they have not recorded any Event Logs. 




2.4. Category: Clicking the Category filter will open a dropdown listing all of the Event Log Categories setup on your Databridge. 



2.5. Range: Clicking the Range filter offers a list of different timeframes you can run your reports on/between, such as This Month




3. Once you have setup the filters you wish to use, you will be given an overview of information. In the example below, I have asked to be shown all Incident Behaviour Category Event Logs recorded in This Academic Year. At the top of the screen, you are given an overview, Events Reported, of the breakdown of when these Events took place this year. To the right of this you can see the breakdown By Programme, and on the right of the screen, By Category.




3.1. Scrolling down the page, you will find further charts breaking down the information further. These include, but are not limited too, By Student, By Sex, By Age, By Building




4. To print or download any of the charts displayed, click on the 3 line icon in the top right of the chart. Clicking the 3 line icon will open a dropdown where you can select to either print or download the chart. 




Event Log Chart Reports


1. To build your own reports for your Event Logs, navigate to Event Logs > Reporting.



1.1. Clicking Reporting will load the page like so. 



2. To start building your reports, you need to build Datasets. To do so, navigate to Add Dataset on the left of the page. 



2.1. Clicking Add Dataset will open a window where you can start entering the relevant information. 



2.2. Firstly, you need to name the Dataset. To do so, simply click on the Dataset Name field, and type in the required name of this report. In this example I am going to be running a report on the Behaviour Example Event Logs, run last month. I will therefore name this Dataset ‘Behaviour Example – Last Month’



2.3. Once you have labelled this Dataset, you can now start adding filters. To do so, click Add Filter



2.4. Clicking Add Filter will open a window displaying your Filter Options. The first filter I wish to set is to ensure this report is only for the Behaviour Example Category. To do so, using the Field dropdown I am going to select Category.  



2.5. After selecting Category, you can now use the Criteria dropdown to select the relevant Event Log, which in this example is Behaviour Example



2.6. Once you have set these filters up, click Update



2.7. Clicking Update will take you back to your Datasets page, where you can continue to add Filters. As I only want this report to show Behaviour Example Event Logs from last month, I now need to add another filter that tells the system to only look at Last Months. To do so, click Add Filter, then set the Field to Date Range and the Criteria to Last Month, before clicking Update



2.8. Clicking Update will take you back to your Datasets page. Now that we have told the system to look purely at the Behaviour Example Category, and specifically for a Date Range of Last Month, we can now click Refresh



2.9. Clicking Refresh will take you back to your Reports page where a chart will now be displayed, if there is data to show for the Category of Behaviour Example from Last Month. 



3. Your Report will automatically appear as a Column Chart, however, using the Chart Type Filter, you can choose from multiple options to display your data, such as Pie



4. Under the Chart Type Filter, you will find a second filter option, with further filters to breakdown the data within this report. For example, selecting By Field will give you a third dropdown, which will list all the fields within the Behaviour Example Event Log. 


4.1. If you want to see the Types of Incidents that have been recorded for example, on the Behaviour Example Event Log, last month, you can select Type of Incident (Incident Details), and the chart will show as so. 



4.2. If at any point you want to print or download the chart, simply click the 3 line icon in the top right of the screen. 



5. If this is a report you need to run every month, you can save the report by clicking on it under Datasets on the left of the page. This will open the Dataset, where you can click Save. 




5.1. Now if you navigate away from Event Log Reporting, when you return to the page, click Load Dataset, and using the dropdown, you can select the Report you wish to run, and click Load




6. If you wish to compare the same category between 2 months, for example, Last Month and This Month, you can do so. Firstly, click the dataset on the left, and in the pop-up window, click Copy



6.1. Your copied Dataset will now appear on the left. Click the dataset to open it, where you can re-name it, in this instance, change to Behaviours This Month. We also need to update the Date Range Filter to look at This Month. To do so, firstly remove the current Date Range by clicking the bin icon




6.2. Once you have deleted Date Range LastMonth, click Add Filter, and set the Field to Date Range, and Criteria to This Month, before clicking Update


6.3. Once you have clicked Update, you will be taken back to the Edit Dataset page, where you can now click Refresh



7. Once you have clicked Refresh, your table will now update where you can view the differences between This Month and Last Month




8. You can again use the filters on the left to change the data displayed on the page. For example, Choosing By Field > Type of Incident





Event Log Text Reports


1. If you’re looking for a Text report which can display more information in one place, navigate to Event Log > Reporting



2. Clicking Reporting will open the page like so. Here you can Load Datasets, as before, by clicking Load Dataset



 3. Select the Dataset you wish to load from the dropdown, then click Load



4. Clicking Load will take you back to the Reports screen. From here, navigate to the By Type filter, and change it to Text Report




4.1. The numbers displayed are the Events' recorded ID’s. Clicking on one will take you to the Event Log. To see more information within this report, however, click Edit Fields on the left. 



4.2. Clicking Edit Fields will open a window where you can add the information you wish to be displayed on the Text report by clicking Add Field




4.3. Clicking Add Field will open a window where you can select all the fields you wish to display on your Text Report. Once you have selected the fields you wish to run the report on, click Add Selected Field(s)




4.4. Clicking Add Selected Field(s) will take you back to the Edit Report Fields window where you can change the labels if you so wish. Once you are happy with the fields and their labels, click Run Report




5. Clicking Run Report will take you back to the Reports page, where your Text Report will now be visible. 




6. To print your Text Report, use Print PDF or Print Excel on the left. 



7. As with the previous Reports, you can save a text report. To do so, select the Dataset on the left. 



7.1. Selecting the Dataset will load a window like so. From here, click Save






Event Log Things to Note


With any Report that you make and Save, it is worth noting that you can share these Reports if you wish for other Staff to be able to access and Run them. 

Once you have Saved a Report, when you are on the Reports page, Event Log > Reporting, if you select Load Dataset you can choose the dropdown to select the Dataset you wish to share, and then click Share Selected




This means when other Staff are on this page and select Load Dataset, they will be able to view and print this report.
