Parent Logons

Parent logons enable parents, or guardians, to have access to information relating to a Student in Databridge. Each parent logon is linked to a particular Student, or Students, so that they only see the information they are allowed to access.

Viewing Current Configured Logons


You can view current configured logons by going to the Parent Logons section under Administration. The screen will show the following information relating to the available logons.


Column

Description

First Name

First name of the parent

Surname

Surname of the parent

Email

Email address for contacting the parent

Username

The assigned username

Linked To

Details which student(s) the parent is linked with

Times Logged In

A count of how many times the parent has logged on

Last Logon

A record of when their last logon was

 


 

Adding a new Parent Logon

 

To add a parent login first go to Administration and choose Parent Logons. To add a parent logon click Add Logon and you will be presented with some configuration options.

 

Field

Description

Firstname

Enter the first name of the parent

Surname

Enter the surname of the parent

Email

Provide an email address for contacting the parent

Username

Choose a suitable username, the same as the email address is recommended

Password

Set a password for the logon

To link students to the parent logon click Link Student and select a student name from the dropdown. Click Add Student to add this student to the linked list. Click Save to create the logon.

 

Information
You can link more than one student to a parent logon

 



Adding Parent Logons from Contacts

 

Under the student's contact tab on the student details screen, you can specify contacts for the student. These records can be used to create a parent logon from the information already recorded in the contact tab. Click Import Contact, this will provide a list of contacts from the student record to choose from.

 

Information
Contacts will only be available to add if they are marked as having Parental responsibility (in the contacts tab), they have an email configured and they haven't already been added as a parent logon already

 

Choose the Site if you have more than one, and tick the Selected option against the contact(s) you want to add. Click Import as Logins to add them as parent logons.

 

Important
You will have to set the passwords either individually or by bulk setting them using Bulk Reset

 


 

Adding Parent Logons from an Import File

 

You can import from an Excel file if you have a number of contacts outside of the Databridge configuration that you wish to add.

 

The Excel files needs to have the following format. 

 

Excel Column Title

Will Import to

Email

StudentId

The ID (e.g. 123) of the Student. You can see this next to their name on the Find Student screen

 

To import the Excel file choose the Import (Excel) option in the right-hand panel and click Upload File. You will then need to Choose File and locate the import file. Click Import to import the file.

 

Important
You will have to individually or bulk set the passwords after importing the file using Bulk Reset

 


 

Bulk Reset

 

There could be a need to reset one or more users' password, for example if you feel one or more password have been compromised. You may also want to reset all at the start of a new term.

 

The Bulk Reset option allows you to do this. It is recommended that you enable two factor authentication by moving the Enable TFA slider to the right. Tick the users you want to reset by ticking the box next to the required usernames. Clicking Reset will reset the password and email details to the users selected.
