Recording/Viewing Evidence

Before being able to record Evidence you must have setup Targets and Objectives accordingly. If you have not done so, ensure to do this first and use the previous articles for help on how to do this.


When recording Evidence, you should determine if you will be recording this as either an Achievement or Observation. Your organisation may have a certain preference when recording Evidence but for clarity only recording an Achievement will tally towards the total required and increase live progress.


Recording Evidence can be done from several places and this article will list all of these, we recommend looking at each one to determine the best way(s) for your organisation.


Tip
Only recording Evidence via the Evidencing screen allows you to assign the Evidence to multiple Objectives at the same time.

Options when recording Evidence


Whichever method you use, the options when recording evidence in Databridge remains the same and includes the following:

DateBy default this is the current date (or the date of the Session if recording there). If policy dictates it, you can adjust this date and backdate it if required.
Actual ScoreOption to update the Actual Score of the overall Target if required.
EvidenceYour description/narrative of the Evidence.
Add File(s)Use this to add images, video, documents etc as required for the Evidence.
Add Tag(s)Use this to associate tags to the individual recording, which can later be looked at via the Progress Dashboard.




Record Evidence on the Targets screen


Go to the Learners Targets screen and locate the Objective you wish to record Evidence for. 


Click on the pencil icon on its row and select Record Achievement/Observation.


Tip
If the achievement occurred during a Session, we recommend using the option below instead as this method will not contain the link for that Session.




Record Evidence on the Session screen


When on a relevant Session, locate the Learner and find the Objective in the list you wish to record Evidence for.


If you cannot see the necessary icons, make sure to toggle them using the button in the top right of the panel of the Learner. Click to record Achievement/Observation as required.


If the Objective you wish to record Evidence for is not listed, click on the Learners photo. Locate the Objective within the Targets tab. Click on the edit icon which will give you a modal with the Objectives detail. You can then click on Achievement/Observation accordingly.




Record Evidence using Quick Evidencing


If you are on a mobile phone, tablet or any other device with a smaller screen this option may be preferable.


On the left hand side menu, go to Sessions -> Quick Evidencing.  This gives you a quick list of your Sessions today (although you can change the date accordingly).  The screen is designed to quickly add Evidence without all the full options, textboxes, images etc that are displayed on a usual Session Plan.


Click on a Session to see the Learners in it. Click on a Learner to see their Objectives for that Session. Click on the relevant Objective and select Achievement/Observation as required.




Record Evidence using NEW Evidencing Screen


Added in 2021, a new screen for Evidencing was introduced and is found in the left hand menu using the Evidencing -> Submission option.


This screen will allow you to add multiple achievements/observations without having to navigate to Session or Target screens accordingly. Simply follow the order below:

  1. Enter your evidence description/narrative into the textbox.
  2. Click Add Evidence File(s) and select images/videos etc to upload as many times as required. This will display on screen for you to see.
  3. If the achievement was during a Session, click on Link Session, find the Session and click on the link icon. The button will change to display which Session it is now linked to.
  4. On the far right, tick any Tags you may wish to associate this achievement with.
  5. Click the Submit button.
  6. Using the dropdown filters at the top, find and select the Learner the evidence is for.
  7. On the left hand side, locate each Objective you wish to record evidence for and click the arrow icon to list it on the right hand side. You can do this multiple times should you wish to record the same evidence for multiple Objectives.
  8. When you have finished your selection of Objectives, click on the blue Submit as Achievement/Observation button accordingly.

When the evidence is recorded, the screen will reset so you can begin to add evidence for another Learner/Objective as required.


Note:
You can also add evidence for any Incidental Learning from the Evidence Submission page. Input the details of the evidence as usual, and then click on the 'Submit as Incidental' button. Select the learner, give the evidence a heading and a category, and then click the blue Submit button. An entry will now have been made on the Learner's Incidental Learning screen





Recording 3rd party Evidence


If you are using our Learner Access and/or Parent Access portals, then both of these have the option to submit evidence. 


If a Learner/Parent submits evidence through one of these portals it can then be viewed within Databridge. To view these, go to the Dashboard and add the widget Students - Externally Submitted Evidence. This widget will list when/who submitted the Evidence and which Learner it is associated with, with a filter to show either all evidence externally submitted, or only externally submitted evidence for you as a Tutor. 

When a learner or parent has submitted evidence via either the Learner or Parent Portal, you have the option to discard any submissions using this widget. Click on the notepad icon next to the entry on the widget and you will then be taken to a page similar to the evidence submission page. You can either attach the evidence to a learner's objective by clicking on the blue Submit Evidence to Databridge button and then follow the same process as you would when submitting evidence yourself. Alternatively, you can discard any submitted evidence by clicking the red Unlist Evidence button, and the evidence will be deleted.


Click on the edit icon to bring up the evidence description and any files attached. You will notice the screen is displayed in the same way as the Evidencing screen above. With the exception that you cannot adjust the evidence/files or link to session, you can follow the same pattern for transferring this 3rd party evidence onto an Objective.




Viewing Evidence


Viewing the Evidence for Targets and Objectives can be viewed in different ways depending on if you want to see this on screen or if you want to output the evidence to a document. Next to any recorded Evidence Items, the score for the Target that the Evidence was submitted against will appear alongside the entry.


Viewing the evidence can be done in the following ways:

Evidence Browser
On the Evidencing -> Browser screen, you can use multiple filters to view Evidence on screen and their related Evidence files.

There is also a 'Watch all videos' button on this screen that when clicked, will open a window showing all of the videos that are displayed underneath
Target Evidence On Screen

On the Targets screen, click on a Target and then using the Target Actions use the View Evidence option.


This will give you a timeline view of Achievements/Observations where you can click to see the Evidence files directly.

Objective Evidence On Screen

On the Targets screen, locate the Objective and using the pencil icon, select the View Evidence option. 


This will give you a timeline view of Achievements/Observations where you can click to see the Evidence files directly.



Multiple Evidences

On a Student record, on the View menu, click on the Evidence Timeline.


This will give you an overall progress chart for Objectives, as well as a timeline view of not only Target/Objective achievement and evidence, but also when they were achieved, when they were added, Scoring history, Incidental Learning evidence AND Qualification achievement.

Print Evidence

On the Targets screen, click on Options and then Print Evidence.  This option will give you all the Achievements, Observations and Incidental Learning (if selected), all in one word document with images and links to video files included.


It will output depending on the current view you are using i.e. By Target/Goal/Area.

Databridge also offers another application called Record of Achievement, which allows 3rd parties to logon and browse the evidence of a Learner. Contact us if you are interested in using this.
