Accessing Subjects
To access Subjects, navigate to Administration -> Standard Values.
Within the General Values area, click on Subjects.
Adding/Editing Subjects
To add a new Subject, click on the blue New Subject button.
To edit a Subject, click on the relevant item in the left hand list.
Whichever option you use then populates the right hand side of the modal accordingly.
Add/Edit the fields accordingly:
Field | Description |
---|---|
Subject Name | The name/title of the Subject e.g. English. |
Department | The Department the Subject is linked to. |
Subject Tab
Field | Description |
---|---|
Picture | Set a picture or symbol accordingly. This picture is used on Symbol styled Timetables. To upload images to the list of available pictures for Subjects, go to Standard Values -> General Values -> Manage Subject Symbols. |
Hide Leader on Timetable | Tick this if you want to hide the Session Leader label on the Timetable for this Subject. |
Hide Session on Timetable | Tick this if you want to hide the Session on the Timetable for this Subject. |
Don't show on Session Manager print | Tick this if you want to hide the Session on the Print Sessions option on the Session Manager screen for this Subject. |
Active Subject? | When ticked, this Subject is available in dropdowns across the system. |
Attendance Required |
Untick this if you don't need to record Attendance for this Subject, |
Don't Auto Add Objectives | If ticked, Objectives will not be added automatically to the Session. |
Timetable Background | The colour for the background of the Timetable block for this Subject. |
Timetable Text |
The text colour of the Timetable block for this Subject. |
Maximum Class Size | The numerical value of the maximum number of Learners for this Subject. |
Subject Level | The Subject Level for this Subject. |
No. Core Override | Number of Core Objectives to add to a Session INSTEAD of the global number set in Policies. |
No. Subject Override | Number of Subject Objectives to add to a Session INSTEAD of the global number set in Policies. |
Hours Applied To | If applicable, either Planned Learning Hours or Planned EEP. This is used by the ILR Manager to calculate these types of hours based on the Timetable. |
Funding Category | The Funding Category for this Subject e.g. Tuition/ILS |
Work Experience Subject? | Use this checkbox to specify if the Subject in question is a Work Experience Subject |
Workforce Collection Code | Use this dropdown if the Subject is a Work Experience Subject, selecting the relevant code |
Subject Areas |
A list of custom Subject Areas. You can modify the available Subject Areas at Standard Values -> General Values -> Subject Areas. |
Staff Tab
From this tab, you can add members of staff linked to this subject, for example those that teach it.
Locations Tab
From this tab, you can add locations linked to this subject, for example the rooms in which the subject is taught.
Sites Tab
From this tab, you can set the sites this subject will be available for.
