Event Reporting Templates

You can upload templates for event log categories to provide the printout in the desired format along with specified information from the event log. In this way you can have a printout with your own logo and report headings for example.



Creating the Bookmarks


Firstly, you will need to create the bookmarks relating to the Event, so that they can be used by a suitable report template.


In the left-hand panel choose Event Log and then from the list choose Bookmarks Manager.


From the Select Category drop down select the Category you are creating a template for.


Enter a unique bookmark against the configured fields you want to include in the report for the event category. For example if you had a field in the event log to record an injury type you could enter the label StudentInjury for this - so that you can easily see what the data returned will be when you add to the template.


Important
Ensure you Save Changes after completing the required bookmark(s) for the selected category before moving on.



Creating the Template


You will need to create and upload a suitable template which will gather data based on the bookmarks configured in the information above.


Create a Word document of the intended report layout (or use an existing one), this may include standard text, company logo, signature boxes and anything else required. Use bookmarks that you previously created within the template, in order to add the required data from the event details into the relevant location in the report.


To use a bookmark in the template document they need to be added in the following format [db:BookmarkName], where BookmarkName is the unique bookmark name configured using Bookmarks Manager above.


So in our example above, to add the Student Injury into the report you would use [db:StudentInjury] in the template document. For example you might have a line in the template that reads

 Type of injury to the student = [db:StudentInjury]

Which would produce a line in the printed report as follows (where you have recorded the injury type as bruised knee)

Type of injury to the student = Bruised knee.



Uploading a Template for Use


To upload your created template go to Event Log and then from the list choose Template Manager.


To add a template click Add New in the right-hand panel, and choose a Title and select the Category that the template is for. 


Then click Choose file and navigate to the location of the template file and select the template file to upload.


Click Open then Save to complete the upload.



Generating the Report


To generate a report using your template locate the event either from the Event Log tab under the Learner/Student details, or alternatively by accessing the Event Log area in the left-hand pane.


View the event details as normal then from the File dropdown choose Print to Template.


Choose which template you want to use from the Template dropdown and click Print to print the report in Word format.


Information
The choice of templates offered will be dependant on the event type being viewed.
