Adding Qualifications

In order to select Qualifications and/or Units for a Learner, you must first add them onto Databridge.

Where to add Qualifications


You add Qualifications to Databridge via Standard Values, found at Administration -> Standard Values in the left hand side navigation menu.


Under the Learner Values area, scroll to and click on Qualifications.


If you are already on the Learner Qualifications screen, you can also get here using the available Add Qualification button.




Qualification Options


Before you add any Qualifications, if you have not yet done so, please ensure to add/edit any values within the following options under Learner Values:

  • Qualification Exam Boards (e.g. City and Guilds)
  • Qualification Exam Groups (e.g. Maths)
  • Qualification Exam Types (e.g. GCSE)
  • Qualification Nominal Codes (e.g. Entry Level 1)
  • Qualification Statuses (e.g. Did not complete, Full Qualification)
  • Qualification Unit Statuses (e.g. Complete)


Setting the items for these options in advance will save time when adding Qualifications as the available dropdowns use these areas as to what is listed in them.




Add Qualification from LARS


Databridge regularly takes the available LARS database and puts it into our own API so that you can directly add Qualifications from it into this area.


Once you have opened the Qualifications modal in Standard Values, at the bottom there will be a button to Add from LARS.


Clicking on this will open another modal offering you to search on the Learning Aim Reference (LAR Code), Title and Awarding Body of the organisation. Enter anything to help you find the Qualification you need, for example typing english into the Title filter.


Click Search and Databridge will use our own API to display a list of results from the LARS database.


Locate the Qualification you need and click on the + icon next to it. This will add the Qualification into Databridge including the LAR code, Title and Exam Board.


Warning
Please note that the LARS database contains limited information and does not output everything you need to record against a Qualification including Units so you will need to edit any Qualifications added via this method to check details are correct.




Add Qualification manually


If you already have the details of the Qualification, you can manually enter one using the New Qualification button at the bottom of the Qualifications modal. This will simply open the Qualification modal with the first tab to enter the details manually.




Editing/Updating a Qualification


To edit a Qualification, locate it within the Qualifications modal and click on the pencil icon in the same row.  This will open the Qualification in a new modal with multiple tabs:

Used to set the main details of the Qualification
Staff Assignment

Used to assign which Staff are Qualified to Teach or Internally verify the Qualification. Simply use the Add Staff button and enter the values required.

Grades

Used to assign which Grades apply to the Qualification which can then be set on the Learner Qualification itself e.g. A, B, C, Pass, Merit etc. Simply use the Add Grade button and enter the value required.

Units
Used to add/edit available Units for the Qualification


When making changes to the main details of the Qualification, ensure to click on the green Save button at the bottom.




Adding Units to Qualifications


To add Units to a Qualification, first locate the Qualification in the modal described above. Once located, open the Qualification for edit and click on the Units tab.


Before you add a Unit, you must first create a Unit Group by which a set of Units will apply to.  If one does not yet exist or you need to create a new one for an alternative group/set of Units, click on the Add Unit Group button and enter the value/title required.


Once you have at least one Unit Group, click on the Add Unit button. You will then be able to add the following options for the Unit:

Number of credits Unit is worth

Where applicable record Product Code

Sector
Where applicable record Sector
Grades
As per Qualifications, record multiple Grades that apply to the Unit i.e. A, B, C, Pass, Merit, etc


When you have made any changes, make sure to click the green Save button.
