For Staff members you can record their qualifications and training, both during current employment and those carried out and obtained at prior locations as well as any conferences they have attended. 

TABLE OF CONTENTS



Under the Training tab for the Staff member there are a number of sections shown - if there are entries recorded in them.


  • Qualifications - To detail all the staff member's professional and academic qualification achieved or partly achieved
  • Training - To detail any other training undertaken
  • Conferences - To detail any conferences they may be attending or have attended
  • Continual Professional Developments - To detail any CPD programmes
  • Student Qualifications - to detail any qualifications gained delivered by yourselves where the Staff is technically a Student as well


The Group by Achievements button will separate out entries for the same achievement under the relevant section. For example if you have several entries under Training for First Aid then clicking Group by Achievements will show a separate table under Training containing all entries for First Aid, and similarly for other achievements for all sections. 


When achievements are grouped in this way the button changes to be Ungroup Achievements - clicking this will return to the default arrangement.


Tip
You can order the entries in the tables by clicking a column heading to order based on that column's data - repeat click to select either ascending or descending.



Adding Qualifications, Training and Conferences



Tip
There is a newer screen available in Staff -> Training in the left hand navigation menu for adding these types of records, making it easier to add/update them in bulk and see all assigned on one screen. The details themselves will be the same as recorded here.


The fields available when adding Qualifications, Training and Conferences are common for all three.


To add entries for these click the relevant Add button. You will have the following fields to complete. Fill in as required for your specific needs.


For each of these there will be some initial system configuration required - see later sections for more details on configuring Databridge with these details.

Adding Continual Professional Development


To add a CPD entry click Add CPD. This gives a number of fields to configure for the entry.


Field Description
CPD AchievementName of the achievement
HoursNumber of hours taken
DetailsLong description of the Details of the CPD programme
ImpactText relating to the impact of the CPD programme to the staff's position/employment
StatusStatus of the CPD programme
Date AchievedDate achievement was completed
CertificateUpload an image of the certificate if required


Click Save to add the entry.



Adding Student Qualifications


To add a student qualification click Student Quals.

You can use the radio buttons to filter the list of added qualifications by
  • Qualifications at this college
  • Qualifications at this college and before
  • Just prior qualifications

 In the right pane click Add Qualifications to add a new entry.

You can either click the + next to an entry on the list provided in the lower panel to add a configured qualification or complete the fields manually if it is not a standard qualification offering. The list can be filtered to show active only (or not) by using the Active Only checkbox.



Configuring Qualifications


Qualification types and subjects need to be set up in Standard Values. Under Staff Values there are several configuration areas.

  • Qualification / Training Categories  - e.g. GCSE, NVQ
  • Qualification / Training Providers - company or organisation providing the qualification
  • Qualification / Training Status - e.g. completed, did not complete, in progress
  • Qualification / Training Types - e.g. full or part qualification
  • Qualification / Training Sub Titles - for example a module name
  • Qualifications - subjects. e.g. First Aid, Moving & Handling


Once the configuration is completed you can then add Qualifications for staff members. Click Add Qualification to add a new qualification entry.



Configuring Training

Training types need to be set up in Standard Values. Under Staff Values go to Training. To add a new training item click New Training

Add a suitable name to describe the Staff Training. There is a checkbox , Flag 1, which you can use if you wish as a custom field. To configure the label for this checkbox go to System Labels in Standard Values. Finally set a Renewal Months value if required to configure a period in months to require the training to be done again. Click Save to add the configuration item.

Once the configuration is completed you can then add Training for staff members. Click Add Training to add a new training entry.



Configuring Conferences


Conference types need to be set up in Standard Values. Under Staff Values go to Conference Types. To add a new conference item click Add Value.


Add a suitable name in the Value field to describe the conference. Click Save to add the configuration item.


Once the configuration is completed you can then add conferences for the staff members. Click Add Conference to add a new training entry.



Configuring CPD


CPD types need to be set up in Standard Values. Under Staff Values go to Continual Professional Development Types. To add a new CPD item click Add Value.

Add a suitable name in the Value field to describe the CPD type. Click Save to add the configuration item.

Once the configuration is completed you can then add CPD entries for the staff members. Click Add CPD to add a new CPD entry.



Configuring Student Qualifications


Student qualification types need to be set up in Standard Values under Learner Values

Once the configuration is completed you can then add student qualifications for the staff members. Click Student Quals to add a new entry.



Checking Renewals


If any of the records have a renewal date entered, you can check when these are due by either:


  • Seeing if the record lists as red
  • Running the report "Qualifications, Training and DBS Renewals Report" by going to Staff -> Common Reports
  • Using the Staff - My Data widget on the dashboard to list upcoming/overdue renewals for Staff
