Event Actions

Event Log Actions describe what needs to be carried out by a staff member or group relating to an event. There are several places to access and process Event Actions throughout Databridge.



Adding Event Actions



Locate an event from the Event Log list by using the Find Event screen. 


You can add actions for an event in three ways, either by viewing the event first or viewing the actions from this screen. 


Adding Actions from viewing the Event


Open the Event and scroll down to the Actions list or go to the File menu and select Actions.


Click Add Action to add a new action.


From the Action For drop down select whether this is for a staff member or a group.


Information
If you select Staff you then choose the Site and Staff for this action.
If you select Group you then choose the Site and Group for the action.


In the Details section add some text to explain the task requirement and add a Complete By Date clicking Save when finished.


This will send an email to anyone relevant to that action and will display in red where actions are listed for them if they are incomplete and the complete by date has passed.


From the list of existing actions you can click the notepad icon to add comments to the action. If you wish to complete the action click the tick icon. Clicking the bin icon deletes the action.


Adding Actions from Find Event screen


From the Event list click the pen icon next to the chosen event then choose View Actions.


Clicking Add New Action enables you to add a new event action and select whether this is for a staff member or a group by clicking the Action For drop down .


Information
If you select Staff you then choose the Site and Staff for this action.
If you select Group you then choose the Site and Group for the action.


In the Details section add some text to explain the task requirement and add a Complete By Date, clicking Save once finished.

You can reassign the staff member or group for the action by clicking the person icon. Click the notepad icon to add comments to the action, and you can click the tick icon to complete the action.



Managing Event Actions


To view/manage event actions outside of the Find Event and Event details screen as mentioned above, go to Ev. Log/Patterns and choose the Actions option.


You can filter and generate a list using the following options.


Actions set – Choose whether you want to view actions set for yourself or actions set by yourself.

Date Range – Pick a date range. Either from the dropdown for standard date ranges or custom start and end date.


Once there is a list of actions shown the following drop downs populate with choices based on the list that was produced:

Choose a site to filter on



Show Completed

Choose whether to show completed Actions or not



Category

Choose an event category to filter on



Learner

Choose a learner to filter on



Action For

Choose a staff member to filter on



Action For (Groups)

Choose a group to filter on



Added ByFilter Actions added by a certain staff member or all staff


For each action you can click the notepad icon to add comments. Click the tick icon to mark the action as complete, or click the eye icon to view the event details relating to the action.


If you wish to produce an export of the actions click File and Export to Excel to export the file as an Excel file.



Information:
When an Action is completed it sends an email notification to the author of the Action to ensure a communication trail outside of Databridge


Showing Actions on the Dashboard


You can show outstanding actions on the dashboard to easily see the status of actions you have allocated to other staff, or which have been allocated to you to carry out.


There are two widgets relating to event actions you can add to the dashboard:


Event Log - My Outstanding Event Actions - This widget lists any Event Log Actions set for yourself to complete which have not yet been completed.


Event Log - Outstanding Event Actions Set - This widget lists any Event Log Actions you have set for other users to complete which have not yet been completed.


Add widgets to the Dashboard by clicking + Add Widget. These show as separate panes in the view. In both panes you can go to the action list by clicking Go to Actions List.
