Setup Attendance Statuses

Before using Session or Day Attendance options, you will need to ensure you have entered the relevant statuses and marked relevant ones to indicate presence/absence accordingly. 



Updating Attendance Statuses

 

To locate the attendance statuses go to Administration -> Standard Values in the left hand navigation menu. Then locate and click on Learner Values -> Attendance Status. In here you will be able to view, edit and add attendance statuses. You will be able to use the site drop down to filter through the statuses set by site. 



To add a status, click on the 'Add Attendance Status' button or to edit a status click on the pencil icon to the right of the attendance status. A modal will appear with the following options:

SiteSelect the site the status is relevant to
StatusEnter the name for the status e.g. Present, Absent, Sick etc
DescriptionThis field is optional and you can provide more details about the status
PresentIf ticked this Status will be seen as meaning the person is Present when the status is selected. This is crucial to select for attendance reporting to work
Statistical MeaningFor attendance reporting you can set what each status means in terms of statistical meaning. The option here 'Not counted in possible attendances' which means the status will not be counted in attendance reporting
AM/PMThis option allows you to select whether the status is AM or PM for day attendance
Dept. of Ed. StatusIn this field you can add status codes which will appear on reporting
Include in Day AttendanceIf this option is ticked then the status can be used in the Day Attendance system
Require Day Attendance NotesIf this option is ticked then when selecting this status in the Day Attendance system, the user will be prompted to enter notes
Include in Overnight Day AttendanceIf this option is ticked then the status can be used in overnight day attendance
Only Display For Session SubjectThis drop down allows you to select if the status is specific to a subject for session attendance



You can change the order that Attendance Statuses appear when viewing them in Standard Values. Click on Sort Statuses at the bottom of the window, and use the drag and drop function to reorder the statuses.



Tip
The statuses by default will only show for session attendance. You will need to tick the option Include in Day Attendance to use the statuses for day attendance.
