The Initial Assessment Manager is used to setup Initial Assessments against Learners and used to update the Initial Assessment where required.
Locating the Initial Assessment Manager
Navigate to Learners -> IA Manager in the left hand navigation menu. This will take you to the Initial Assessment Manager where you will see a list of Learners on the left hand side IF they have had an Initial Assessment setup.
Using the filters above the list will change who is displayed there.
Screen Options
In the File menu at the top, there is an option called Screen Options. This allows you to show or hide certain fields on the Assessment so you can determine if you want to use them or not.
Make any changes as required and click Save.
Adding an Initial Assessment
To add an Initial Assessment, click on the File menu at the top and select Setup new Initial Assessment. The modal that appears is broken into 3 tabs:

Select Learners | Using the Add Learner(s) button, you can select one or more Learners to create an Initial Assessment for. |
Setup | Determine the Co-ordinator, if the Assigning is complete (i.e. Staff assigned to comment on Areas) and Date/Nature of Assessment |
Assigning | Here you assign areas as created in the previous article to Staff for them to add their comments accordingly |
To create an assignment, whilst on the Assigning tab, click on the Add Staff Assigning button. From here, you select the relevant Staff you wish to comment, the date due and the Area/Sub-Areas you want them to comment on. Select everything as required and then click Save.
The Assigning tab will then display any assignments you have added. If necessary you can use the trash icon to remove any you do not want.
Tip If assessments tend to be the same areas and staff, once you have set all your assignments you can click on the Save Current Assignments as Default option. Any new Initial Assessments you create will show the current assignments on screen to save time.
When you are happy with all the details you have entered, click the Save button. You should now see the Learner(s) you selected on the left hand side (pending filters you may have set).
Editing an Assignment
To see the full details of the Initial Assessment for a Learner, click on their name in the list on the left hand side. This will then populate the right hand side with the following tabs:

Assigning | Displays the list of Assignments as when setup. You can add additional ones here, as well as edit them to set comments and whether it has been completed/agreed. |
Comments | A free text box to add overall comments. You can click on the Import Comments from assigning tab button to populate the text box with all the different comments from there. |
General | Provides a list of fields to record general details about the Learner. |
Assessment | Provides a list of fields to record general details about the Assessment. |
Programme | Provides a list of fields to record details about what Programme they will be starting. |
ILS | A list to add Support/Tutorial related needs as part of their Individual Learning Schedule. |
Prog. Elemements | If the Learner may be doing multiple Programmes, you can add additional ones here. |
Matrix | A basic matrix set of fields for a Rationale. |
Outcomes | Specify any Outcomes/Qualifications you expect them to do. |
Proposed Timetable | Specify what their timetable may consist of. Add an entry for each block on a timetable and change the Subject for each weekday accordingly. |
Report | Provides a list of fields to record details for the end of the Assessment. |
As well as the information in the tabs above, you can also specify a different co-ordinator and mark if the Assigning and/or Assessment is complete. After making any changes, ensure to click Save Changes.
Writing comments for Initial Assessments
When the assigning for an Initial Assessment is complete, relevant Staff can enter their comments for the Assessment. The assignments for them are found on the dashboard widget Staff - My Data.
Either add the widget yourself to see your assignments OR use the Dashboard Manager to set the widget for relevant staff so it is added for them automatically.
On the widget, locate and click the + icon next to My Initial Assessments. This will then display any Learners/Areas/Due Dates of any assignments you have been given. Click on any of them to be taken to the relevant screen for writing the comments.
Information The screen for My Initial Assessments will display the other assignments as well so you can load each one from there without having to go back to the dashboard widget.
From here, simply enter any comments as required for the assignment/assessment. You can return at any point and add additional comments or adjust them accordingly. When you are finished writing comments, tick the Mark as Complete option so that the Co-ordinator can see you have finished.
After making any changes to comments or marking complete, ensure to click the Save button.
Printing Assessments
To print an Initial Assessment, open it from the Initial Assessment Manager and click on the Print Report button at the top.
