Medication Tab

In the Learner record there is a Medication tab which is used to record any medication the learner has to take. It is also where you can record any vaccinations required by the Learner.


Any recorded medications are shown in the table. Click the bin icon to delete the record or the notepad icon to view the full the record and edit if necessary. Similarly for vaccinations.


Before adding medication to the table any type of medication needs to be configured in the system. Similarly any vaccination types need to be configured in the system. Both can be done in Administration -> Standard Values.



Tip
It is recommended to actually store regular Medication in the Care Plan to ensure its part of the overall information on looking after the Learner. If you have not setup or not using Care Plans then the Medication tab here is a good alternative.




Adding Medication for Learners


To ensure that you have all relevant medication types added to the system go to Administration, under Standard Values go to General Values. Click on the option for Medication Types and choose Add Value to add new medication types.


Once you have a compete list of medication types configured you can add the Learners. Under the Medication tab click Add Medication Entry.


There are a number of fields you can add as required. Some you will add at the beginning of the course, and some will be filled in as the course progresses.



Information
The Details column in the Medication table shows a combination of the medication name, the amount and frequency of administration

Choose the schedule from the dropdown, e.g. daily

Choose a time option form the dropdown, e.g. morning, you also have PRN (e.g. when required) and NEVER

The frequency, for example daily 2 would be every two days
How PRN/Administered
How the medication is given if Schedule is PRN
Professional/Emergency meds
Details of the medication as applicable
Self medication
Tick if the Learner administers their medication themselves
Date Started
The date the medication course started
Date of Last Review
The date the medication was last reviewed
Date Stopped
The date the medication course was completed




Medication Administration Record (MAR Grid)


Next to the Add Medication Entry is a button labelled 'View MAR Grid'. Clicking on this will take you to a screen displaying an MAR Grid. Using the dropdowns on the left you can select the month and year you wish to view. Listed underneath will be any medication entries recorded on the Medication tab


The MAR Grid is used to keep track of when medication has been administered. When a Medication Event is recorded for a learner, and the event contains a medication that matches with those recorded on the Learner's Medication tab, the MAR Grid will be automatically updated.


When an entry has been made to the MAR Grid, a tick icon will appear in the relevant row and column. Clicking on the tick icon will bring up a window showing who added the entry and when.


You can also manually add an entry from the MAR Grid screen by clicking on Add Entry, and from the window that appears selecting the date administered and then the specific medication from the dropdown. Click Save to then add this entry. For recording Medication and using the MAR Grid, we recommend that you do so using the Event Log feature. The manual entry is only used if Event Logs have not been set up yet.


Warning:
Manually adding a MAR Grid entry from the MAR Grid screen will not automatically create an event of that Medication being administered, and if you use audits to check when/if medication has been administered, it will appear as 'missed'.



Adding Vaccinations for Learners


To ensure that you have all relevant vaccination types added to the system go to Administration, under Standard Values go to General Values. Click on the option for Vaccination Types and choose Add Value to add new vaccination types.


Once you have a compete list of vaccination types configured you can add the Learners. Under the Medication tab click Add Vaccination Entry.


There are a number of fields you can add as required.
