The Staff member's Security tab holds information relating to their login, if they have been provided with one, along with settings to set access permissions.




Staff Login Settings


If you require the staff to be able to login you can set them up a login under their Security tab. Firstly you will need to create a suitable Username. It is recommended to use a standard such as firstname.surname to ensure they are not easily forgotten or too similar to others.


The username will need an associated password. You can either specify the user's password for them by clicking the Reset Password button. However it is recommended to use the Send Reset Password Email option and tick the Force Password Change option so they receive a new random password to login with that is sent to their email which they must change straight away. 


Last Logon will show date and time of the most recent login by the Staff member.


There are a group of checkboxes to manage the user's login account:


  • Force Password Change - tick to force the user to change their password on their next login
  • Is Locked Out - tick to lock a user out of their account, untick to unlock their account (if they have locked themselves out from too many failed attempts)
  • Out of Office? - tick to mark the Staff member as out of office which whilst ticked means Databridge does not send emails to that address
  • Force Browser Access - tick to force the user to use browser access to Databridge instead of the desktop app. This is no longer an applicable field for new customers after 2018.
  • Pop Up New Messages - tick to show any new messages in a popup. This is no longer an applicable field for new customers after 2018.


PIN - the PIN is used when a staff member scans the QR code for a Learner to mark their attendance to a session/lesson. The staff member will be asked to enter a status and provide this PIN when checking the Learner in.


Information
The Staff member will not be able to log in if there is no username specified in the Security tab.




Site Access Settings


The option Choose Site for College Name enables you to specify a site as college name for the Staff member, or you can leave as default. When printing documents, this site name will appear instead of the Organisation name.


The Sites table configures the Staff member's access to the sites configured in your Databridge. 


To add a site click Add Site and choose a Site from the drop down. Then choose either or both of the following options:


  • Part of Site - Tick to enable the Staff member to be included as a staff member for this site in dropdowns/lists
  • Access to Site - Tick to enable the Staff member to be able to choose this site when logging in with their login access




Groups and Student Access Permissions


The Security Groups section allows you to configure which security groups the Staff member is a member of. To add a new security group to the list click the +. From the list provided choose a Site and place a tick next to the group(s) in the Select column that you want added to the Staff member's record. Click Save to complete.



  • Line Manage Security Groups -  This option allows you to set the Staff member as a Line Manager for groups configured in this list. To add a new group click the + and choose a group from the Select Security Group dropdown.
  • Excluded Student(s) - This is a list of students that the Staff member is excluded from having access to. Click Add Student to add from the dropdown list.
  • Limit to following Student(s) - This is a list of the only Students/Learners that the staff member can have access to. Click Add Student to add from the dropdown list.
  • Limit access to Student Status(es) - This is a list of the only types of Students/Learners that the Staff member can teach. Click Add Status to add from the dropdown list.
  • Limit access to Student Department(s) - This is a list of the departments that the Staff member can have access to. Click Add Department to add from the dropdown list.
