Viewing Student Records

To view a Student record, you must first go to Student -> Find Student in the Modules menu on the left hand side of Databridge.




Finding a Student


When you are on the Find Student screen, this is split into 3 columns. The first column gives you a list of filters by which to search on, the second column displays the list of Students found, and the last column is empty until you select a Student. 


You can select from the dropdowns in the first column and the list of Students found will change immediately.




Tip
You can filter by age with three choices - under 16, 16-19 and over 19



Information
This screen remembers which filters you selected. You may need to change them back on a subsequent visit.



You can also type into the textbox above the list of Students where it says Search list, as you type this will also filter the list so you can simply type in a persons name to locate them.




Viewing a Student


When you click on a Student, the third column on the page will display some quick details for the Student such as Contacts, Important Information and Consents. This is to provide information that anyone can see without having access to the Student record itself. 


To view the Student record, simply click on the View Student option.





Default Viewing Options


The summary view of the Student when you click on their name is simply the default setup. If you click on your name in the top right and click on My Defaults, you can change this. 



In the View Student Option dropdown, you can select from the following:

Instead of display the summary view, go straight to the Student record.
Direct to Student

The same as the previous option with the exception it will open the record in a new tab. This allows you to keep the Find Student screen open.



If you change this option, remember to click Save Changes at the bottom for it to take effect.






File Options


At the top of the list of filters, you'll see a File button. Clicking on this will bring up a dropdown of options:

Not all options may appear in the dropdown depending on your permissions



OptionFunction
Print Photos
Creates a printout displaying the photos for all students listed based on the filters set. The printout also includes the filters applied when printing.
Bulk Edit
Opens a window displaying all students based on the filters set, with the option to select/deselect all, or use the relevant checkboxes to select multiple students . A list of fields are available on the right, and any changes made to these fields will be applied to all of the selected students .
Bulk Add Destinations
Opens a window where you can select multiple students  and add a Destination entry to each of the student records selected.
Bulk Remove Consents
Opens a window where you can select multiple students. You can then use the dropdowns to select a consent to remove from all of the student records selected.
Bulk Remove Staff Links
Opens a window where you can then select multiple students - this option will remove all of the Staff Links recorded for the students  selected.
Export Students 
Opens a window where you can then select multiple students and then export their information to an Excel document. You can specify if you would like to export to a standard Excel spreadsheet, or to a document in the CPOMS format.
Set Auto-Generated IDs
This option will change the student ID for all of the students  listed on screen based on the Auto-Generate ID set in Policies. You can change the Auto-Generated prefix by going to Administration > Policies > Student Policies > 'Auto Generate Prefix'.
