Creating FE Workforce Collection file

The FE Workforce Collection is a return you should provide if you receive funding through one or more of the following models:


  • 16 - 19 (excluding Apprenticeships)
  • Adult Skills
  • Apprenticeships (from 1 May 2017)
  • Community Learning
  • European Social Funding (ESF)
  • Other Adult
  • Other 16 - 19

Accessing the Workforce Collection screen


In order to view the screen for completing the return, you will need to have the permission Staff - Workforce Collection Report.


Then navigate to Reporting -> Reports Menu -> Exports -> FE Workforce Collection.




Filling in the return


Via the Options, select the relevant academic year and if necessary Site you are looking to complete the return for.  


This will then load Staff underneath that started before the end of that academic year and who are either still employed or left during that academic year. It will also only load Staff that match the specifications requirement which at time of writing is Senior Leader, Manager, Teacher, Teaching Support and Administration.



Tip
If you cannot see Staff you expect, check their records Employed From/To dates. Also check that they have at least one Job added to their record that the specification asks for and that you have entered the relevant code for it in Standard Values (as mentioned in the previous article)



Next to each Staff listed, click the + button to see the full list of fields to complete.



Information
Current Position Duration is automatically calculated via the Staff's Employed From date and is not saved back to the record



If you have added other additional Jobs to the Staffs record, they will also list underneath for completion as well.



Tip
Some fields are required for the return and if they have not been entered, they will display a red bar next to them. If you toggle the Show Errors Only option at the top, this will display only those you have yet to complete for the return



To save the changes you have made, click on Save Changes.

To create the file for submission, click on Generate XML File.
