For Staff members you can record any details related to their employment under the personnel tab. This is broken down into 6 sections for Employment, PAYE / Bank, Holiday / Absence, Overtime Requests, Qualification and Other.


TABLE OF CONTENTS


Employment


The Employment section is used to record the basic employment information you may want to input for the Staff, such as their Employed From date, their Personnel Number, Salary Type, Contract Type, Notice Period etc. 


When Staff leave the company, you can end their employment here also using the End Employment button. This will bring up a screen with information to update for their End Date, Leaving Reason, options to disable the record, disable the login among other options. To confirm the changes, click the red End Employment button. You can add more Leaving Reasons in Administration -> Standard Values -> Staff Values -> Leaving Reasons




PAYE / Bank


This section is used to record PAYE / Bank details for the Staff where necessary.



Information

For the fields listed below, you may need to add values to populate some of the options by navigating to Administration -> Standard Values -> Staff Values:

- Bank Names
- Bank Branches
- Pay Change Reasons
- Pay Types
- Pay Methods
- Pay Element Types




Holiday/Absence


This section is used to allocate holiday entitlement for the Staff and also allows you to view/edit/add other absences.


To add holiday entitlement, use the Add Holiday Entitlement button. Within the resulting screen, you set the Starting Year, Hours Entitled, Hours Carried and TOIL, then press Save.


To view/edit/add absences, use the View/Edit Absence and Add Staff Absence buttons respectively.

Overtime Requests


This section allows you to view the details of overtime requests made by the Staff. These can also be deleted from this section. 


Staff are able to request overtime by clicking their name in the top right of Databridge, and then selecting My Overtime. From there they can select the date, the hours they're requesting and whom it must be approved by.


To approve or deny requests, you will need to use the Dashboard widget Staff - Overtime Requests, which will provide the relevant options to approve or deny. This widget can also be used to bulk approve/deny overtime requests for multiple Staff.




Qualification


This section is simply used to record basic Qualification information for the Staff. 

The fields include:


  • Qualification for Post
  • Qualification Evidence
  • Date of Evidence
  • Seen By
  • Qualification Achieved During Employment
  • Qualification Achieved Notes




Other


This section is used to record some other information for the Staff, such as whether the staff details have been checked, and a text box to add information for what was checked. Fields for IFL (Institute For Learning), ATLS (Advanced Trauma Life Support), QTLS (Qualified Teacher Learning and Skills) and QTS (Qualified Teacher Status) whenever required.


By clicking the Add Professional Memberships button, you can add any the staff may have. You can add options to the dropdown for this in Administration -> Standard Values -> Staff Values -> Professional Memberships.


In this section you can also link the staff record to a previous staff record, useful if they have left your organisation and then re-joined, for example. To link the record you are viewing with a previous record, enter the Staff ID of the record you wish to link with in the Previous Staff ID field. You can then click on the blue eye icon to then go to that record.
