The Session Allocator screen is used to give you an overview of Sessions taking place within a given week and allows you to compare multiple timetables at the same time, from where you can also make changes to any sessions displayed, provided you have the relevant permissions. To access the Session Allocator screen, navigate via Sessions > Session Allocator.
Viewing Sessions on the Session Allocator Screen
Once on the Session Allocator screen, first specify which timetable you want to view. To do this, use the three buttons along the top of the screen:
- The first button will let you specify which site you want to view (if your organisation has multiple sites on Databridge).
- The second button will let you choose between selecting Live or Template sessions to view on the screen
- The third Add View button is where you select how you want to view a timetable, giving you the following options:
Once you have selected the type of timetable you want to view, it will appear on screen showing the current week as default. You can change the days you want to view on the timetable using the 'week' and 'day' options in the top left of the timetable, or the arrows in the top right of the timetable to switch between next and previous weeks/days respectively.
You can add multiple timetables on to the screen at once by simply repeating this process.
Clicking on any of the sessions that appear on the timetable will bring up a window showing you the date, time, subject of the session as well the students and staff members. You can make changes to any of these sessions by clicking on the relevant fields, as well as add students or staff by using the relevant add buttons at the bottom of the window. You can also delete the session you have selected by clicking on the Delete Session button.
Info: There is no bulk edit feature on the Session Allocator screen, and for changes spanning across more than one session you should use the Session Manager screen.
Adding a Session
You can also create a session from the Session Allocator screen. To do this, click on the time slot that you want to create a session for, and this will bring up a window that you can then input the details for the new session.
When you click the blue Save button, the session will be created and available to view on Session Manager and Session List, as well as the relevant Staff/Student timetable.
Staff Hours by Week
On the right hand side of the Session Allocator screen you'll see a + icon with the label 'Staff Hrs by Week', with a date selector option beneath this. This feature is used to calculate how many hours a Staff member has been allocated for sessions within a given week.
Clicking on the + icon will then bring up a window where you can then select a staff member to view a comparison of their Hours in Session/Contracted Hours Per Week. The Contracted Hours Per Week is set in the Personnel tab of a staff member record.
Use the Date Selector to change the week you are viewing their Hours Attended in Session. You can view more than one staff member at a time in the Staff Hrs by Week column by simply clicking on the plus symbol again.
