Residence Manager

The Residence Manager screen is used to help staff such as Support Workers, Nurses or others working in a residential setting with Learners.  It is recommended you read the articles on Care Plans before using this area.

Locating the Residence Manager


Navigate to Care -> Residence Manager in the left hand navigation menu. This will load a screen with multiple buttons across the top that represent your different Residential buildings and/or Care Statuses.


If you have multiple sites, you can filter which site information you view by clicking on Options > Change Filters in the top right of the screen. This will bring up a window where you can then specify which site you are viewing, or view the information across all sites by selecting the All Sites option.

 

Tip
You will need to specify in Standard Values -> Buildings which ones are residential for them to appear here

 

Clicking on any Building or Status at the top will display the Learners relevant to it and any related Scheduled Events, Audits or recorded Events.

 

Tip
For a Learner to appear under a residential building here, you need to specify this on the Personal tab of their Learner record under the Residential area using the Change Room button.

 

The screen is broken down into the following areas after clicking a Residence or Status:

 

AreaDescription
 

Learners

 
 

Lists any Learners linked to this Residence/Status. Also displays Food/Fluid, monitoring and rota details. See updating Learner Details section for more information.

 
 

Upcoming Events

 
 

Lists any relevant Scheduled Events for Learners or Location.

 
 

Audits

 
 

Lists any relevant Audit pass/fails for Learners or Location.

 
 

Event Summary

 
 

Lists any recorded Events for any Learners displayed on the left and for this Location. Useful for someone coming onto a shift to see any Events that may have occurred prior to them starting.

 

 

Information
If any Learners Care Plan was updated in Databridge in the last 24 hours, a red book icon will appear next to the Learner to indicate this. Useful to help prompt Staff if they need a new copy of a paper Care Plan they may be using.



 

Updating Learner Details


If you click on a Learners name you can see and edit individual details. The 3 areas for Events work in the same way as the previous screen except they show only for the individual Learner.

 

On the left, you can set the following:

Tick to show a food icon on the list screen so Staff know to record this.

 
 

Record Fluid

 
 

Tick to show a drink icon on the list screen so Staff know to record this.

 
 

Fluid Amount

 
 

If recording fluid, enter the amount to expect/aim towards. The drink icon will show this value when hovering over it.

 
 

Monitoring

 
 

Select a duration to show an eye icon on the list screen so Staff know they need to monitor this Learner. The duration will display when hovering over the icon.

 
 

Status

 
 

If using these, set a Care Status e.g. Respite. The Learner will then list under that Status at the top as well as a Residence.

 

 

After making any changes, ensure to click Save. You can click on the Residence/Status button at the top again to get back to the list view.

 


 

Setting Residential Dates


You can indicate which dates, days and times a Learner is at the Residence. Click on the Learners name to open their individual details.

 

In the Residence Dates area, click on Add Dates. A modal will appear asking you to enter the following information:

Time they are expected back at Residence from School/College.

Time they are expected to leave for School/College.

 
 

Monday - Sunday

 
 

The weekdays they are at the residence.

 

 

After entering details, click on the Save button.

 

Information
You can add multiple of these records so if the Learner has breaks from the residence rather than one long stay you can add all the relevant times they are there.

 

If you go back to the list view of the Residence you will now see that it will indicate the relevant dates/days/times they should be there.



 

Setting Residence Absences


You can indicate which dates a Learner will be absent from the Residence (e.g. for Holidays). Click on the Learners name to open their individual details.

 

In the Absence Dates area, click on Add Dates. A modal will appear asking you to enter the following information:

The weekdays the absence applies to.

 

 

After entering details, click on the Save button.

 

On the list view, on any of these dates set, an orange cross icon will appear next to the Learner to indicate they will not be at the Residence on that day.
