ROP Manager

The Review of Progress Manager is used to setup and record the details needed for a Review of Progress. Unlike the other assessment screens, the Review of Progress area is used to create assessments for Learners on a contextualised basis rather than a scoring/numerical basis.

Locating the Review of Progress Manager


Navigate to Learners -> ROP Manager on the left hand navigation menu. You will be taken to a screen that lists Learners on the left hand side with filters above them that change that list accordingly.




Creating a New Review


On the ROP Manager screen, in the File menu at the top click on Setup new ROP. You will be taken to the setup screen for ROPs. The first tab displays a list of fields to specify the Co-ordinator and any relevant dates for the ROP.


In the Setup Version dropdown, either leave this as original or select the one required. These versions will determine which tabs display for this ROP details. If you are unsure which one to use please contact Databridge.


Staying on this first tab, next you need to click Add Learner. Select which Learners will apply and click Save for them to display on screen.


On the Comments tab, you assign the people and Area/Subject you want to record details for on the review. Click the Add Comment button and a modal will appear asking for the following information:

Select a Subject you want a review to be written for.

Select a Skill area you want a review to be written for. You can only select EITHER a Subject or this.

Comment BySelect who will be writing the review
Agreed BySelect who will be agreeing the comment for this review
Default SetTick for the text below to show by default when the comment is being written
Default TextThe text that will be displayed by default for the comment


When finished entering details, click Save and the comment request will appear in the list on screen.


Tip
You can tick the Auto generate options at the top either instead of or as well as adding individual comment requests. If these are selected, comment requests will be created automatically based either on Session Leaders or Residential Staff (depending on selection).

This can save time if you are simply asking all Teachers to provide their comments on their respective Subjects. You can also exclude particular subjects from being added to auto-generated comments by using the list in the dropdown and selecting the subjects you want to exclude.


When you have finished selecting Learners and setting comment requests, click the Create button. This will take you back to the ROP Manager.


Tip
If the areas/subjects for comments are generally the same you can save the current list on screen to a template using the Save as Template button. You can then use the Load from Template button when setting another one up later to preload those comment requests.




Viewing Review of Progress Details


Whilst on the ROP Manager screen, locate the relevant Learner and click on the + icon. This will list any ROPs added to the Learner and you can select the relevant one.


Because each Setup Version can determine which tabs appear, this article will not explain every tab that is available as some may even be organisational specific and not related to you. If you would like to see some of the different tabs on our demo for reference please contact us.


The two tabs they all share are Overview and Final. The Overview tab displays the same fields and dates as when setting up the ROP. It also lists the comment requests as per when setting up where you can add, edit and remove any as required. The Final tab is used to generate a report for the ROP. These reports are created for each organisation accordingly to get the output they required. Please contact us to have your own print out for ROPs as required.




Writing Comments for a Review of Progress


This is done via the widget Staff - My Data on the dashboard. Either add this yourself using the Add Widget option or assign it to others using the Dashboard Manager.


In the list of options displayed, there will be multiple options displayed depending on what you are looking for: 

  • My Reviews of Progress as Coordinator - Will list accordingly and clicking these will open them in ROP Manager 
  • My Reviews of Progress - Comments to write. These will list comments that you the user need to do 
  • My Reviews of Progress - Comments to agree. These will list any comments that have been entered and you the user now need to read and agree them 
  • Overdue Comments where I am Co-Ordinator. This will list any overdue comments accordingly.


Information
If any items in the lists above are overdue, they will highlight red.


Under the comments to write, click on one to open the screen for entering the details. Simply enter any comments required and click Save. Once you've added a new comment, an email notification for this will be sent to the ROP co-ordinator.


If you are validating someone else's comment, under the comments to agree, click on the relevant one to get to the same screen. You will have additional options to record a Grade for the comment, add any additional comments of your own, and mark the comment as Agreed.
