This article will discuss the configuration required before you can begin to use shift patterns in the absence system.
Important The Absence Duration Type must be set to hours in the site settings to use shift patterns. The option is found by navigating to Administration -> Standard Values -> Site Settings and then selecting a site
Creating / Editing Shift Patterns
Go to Staff > Absence Manager > File > Shift Patterns which will bring up a window. Next, on the top panel Shift Patterns, click on the + sign to begin creating a new shift pattern and enter a name when prompted click save.
The bottom panel for Pattern Settings will now be available with the following options:
Option | Description |
---|---|
Start Date | The date this shift pattern has started |
Day | The day of the week |
Selected | Tick this option to include the day in the shift pattern |
Start Time | Enter the start time of the shift |
End Time | Enter the end time of the shift |
Break Hours | Enter the breaktime in hours |
Tip The start time, end time and break hours configured in the shift pattern will be taken into account when calculating absence hours. For example, the system will calculate the hours from the start and end time then subtract the break hours
To edit a shift pattern, go to the shift pattern panel and click on the pen icon and use the options below:
Option | Description |

View Shift Pattern Details | You can view the shift pattern details and then edit them |
Edit Shift Pattern Details | You will be prompted to edit the shift pattern name |
Delete Shift Pattern Details | This will delete the shift pattern from the system |
Setting Shift Patterns To Staff
Once the shift patterns are set up you will be able to set these against each staff job record.
To do this go to the Staff Record > Work Tab > Job Details section and then click on a current job in the table or use the add job title button. Then, scroll down to the Shift Patterns section and select the required shift pattern and save the changes.
Shift Pattern Policies
A policy can be configured to ensure staff use shift patterns when requesting for holidays. Navigate to policies screen by Administration > Policies > System Policies > Staff Policies and tick the checkbox for Only Use Shift Patterns When Requesting Holidays.
