This article will discuss setting up triggers and alerts for absences. The absence trigger conditions are checked when adding / editing absences. If the criteria are met then an alert is added to the system and an email is sent out.
Setting Up Triggers
Go to Staff > Absence Manager > Alerts > Triggers and click on Add Trigger and fill in the relevant details and then click save.

Trigger Name | A name for this trigger |
Trigger Type | You can set the trigger type to based off either an absence status or reason |
Trigger | Set which status or reason you want the trigger to be for |
Number of Instances | Set the number of absence instances you would like the trigger to check for |
Within Number of Days | The trigger will check for the number of instances set above within the number of days set |
Trigger Description | A description of the trigger |
Enable Trigger | You can turn the trigger on or off |
Setting Up Notifications
The two methods for notifications are by email or viewing absence alerts using the dashboard widget or in the Absence Manager screen under the Absence Alert tab for a staff member.
To enable email notifications, the staff member needs to be part of a security group that contains the Staff - Absence Trigger Notification permission.
To view the alerts set off by the triggers first, you must ensure that you have the Staff - Absence Manager permission to view this information. Then, go to the main dashboard and add the widget for Staff - Absence Alerts or you can go to the Absence Manager screen, select a staff member and view the alerts tab. In both areas, there are multiple options for the alerts.

Resolve Alert | This will mark the alert as resolved so the alert no longer shows in the widget. You will be able to view resolved alerts in the Absence Manager screen under the alerts tab |
Unresolve Alert | This will mark the alert as unresolved |
View Alert Details | You will be able to see the absence details which triggered the alert |
Delete Alert | Here you will be able to delete the alert |
Tip When marking the absence alert as resolved you will be prompted to include some notes which you can view in the Absence Manager screen un der the alerts tab using the View Alert Details option
