Virus Tracking is a function used to record details about any isolation and/or test results for Staff and/or Learners. Within the Virus Tracking function, there are reports to show relevant data related to virus test results.

Navigating to Virus Tracking
To us this function, navigate to Virus Tracking in the left hand navigation menu.
There are three tabs in the Virus Tracking screen;
- Student - Virus information for Students (Learners)
- Staff - Virus information for Staff members
- Reports - Reports on testing outcomes
Student/Staff Virus Tracking
Under the Student and Staff tabs there is a panel called Options. This allows you to filter the list below based on the choices selected. The options available are slightly different depending on whether you are in the Student or Staff Tab.
Student
- Site - filter by site if you have more than one site for your college/school
- Student - filter by student name
- Between dates - show records in the date range
Staff
- Site - filter by site if you have more than one site for your college/school
- Staff - filter by staff name
- Between dates - show records in the date range
- Group - filter by tutor group
- Job Title - filter by job title
- Department - filter by department
To add a new virus record click Add Record. There are a number of fields to complete for the record. The fields added here are reflected in the virus list under the Student/Staff tab.

Virus Type* | The relevant Virus related to the record |
Isolation Start Date | Start date of their required isolation (optional) |
Isolation End Date | End date of their required isolation (optional) |
Tested for Virus on | The date they were tested (can be entered later if required) |
Test Time | The time the virus test was done |
Barcode | The barcode of the test taken (should you wish to track/trace) |
Test Type* | The relevant type of test e.g. Lateral Flow |
Test Result* | The returned result of the test e.g. Positive |
Home Testing Kit | Tick if they used a home testing kit |
Information Virus Type, Test Type and Test Result options will need to be added if the values required do not show in the dropdowns (see below). These can all be configured in Standard Values and is described at the bottom of this article.
Virus Tracking Reports
Under the Reports tab there are two charts relating to test results.
The Test Results chart shows the counts of test results for each type of result. It will colour code the different Test Types for comparison.
The Positive Tests chart shows the percentages of the total positive results for each Test Type.
For each chart there is a Download XLS option for use with Excel.
Configuration of Virus Tracking
By default, the Virus Tracking area is setup with details around the Covid-19 virus. If you wish to use it for other forms of tracking or change the available options you can do so.
Virus Type, Test Type and Test Result values are configured in Standard Values.
Virus Type values are added in General Values in the Virus Types option. Click Add Value to add a new virus type. Click the notepad icon against existing values to edit them.

Test Result values are configured in General Values in the Virus Test Results option. Click Add Value to add a new virus type. Click the notepad icon against existing values to edit them.
