This tab is used to record Disabilities and Essential Staffing Requirements for the Learner.
Setting up Disabilities
Before selecting Disabilities, you should add them accordingly in Administration -> Standard Values -> Learner Values -> Disabilities, here there will be a default list of disabilities with details.
Tip When entering the different Disabilities, you should select/enter the LLDD and Disability Code as per the ILR specification. This will save you time later when filling this in. If you have to generate a School Census, you should also enter the relevant Census code from that specification as well.
Adding Disabilities to Learners
Back on the Learner record and Disability/ESR tab, click Add new Disability and this will bring up a modal containing the below fields:
Field | Description |
Disability | Select from a list of disabilities. |
Sub-Category | Sub-category selection for the disability (if applicable). |
Details | This will display a medical definition and extra details for the disability. This can only be edited in Standard Values. |
Student Notes | Enter notes about this disability related to the specific Learner. |
Principal | Checkbox for whether this is the Principal disability for the Learner. |
Medically Diagnosed | Checkbox for whether the Learner has been medically diagnosed with the selected disability. |
ILR Details
The nature of the learner's disability, learning difficulty and/or health problem.
This is required for the ILR to identify all the learning difficulties, disabilities or health problems that may apply for reporting purposes and to align with data collected in the school census. If you have entered these values in Standard Values it will be set automatically.
Field | Description |
---|---|
General Category | The category assigned to the selected disability. |
Override | Ability to override the category if necessary. |
Exclude from ILR | Checkbox for whether the Disability is excluded from the ILR. |
Tags
In the Tags tab, tags can be added to Learner's disabilities by clicking Add Tag.
To add more tags to the list of those available, navigate to Administration -> Standard Values -> Learner Values -> Disability Tags.
Please ensure you click to Save Disability after making any changes to the Tags.
ESR
Essential Staffing Requirements are used as a helpful prompt when adding Sessions.

Mental Capacity Assessments
At the bottom of the Disability tab, you can enter any number of Mental Capacity Assessments that have taken place.
Click Add new Mental Capacity Assessment to begin and simply enter the Assessed, Date, Practitioner and details accordingly. Ensure to click Save when finished.
Once you've saved a Mental Capacity Assessment, you can upload documents to any entries by clicking on theicon that appears next to it.
