Equipment Tab

The Equipment tab is used to record items of equipment that the Staff member has checked out for their use. For example, they may have the use of a tablet for the academic year, or the use of a projector for one day to do a presentation.


First you will need to add equipment categories (types) and items to the inventory of equipment the organisation holds. Then when you check equipment out to Learners you will pick from that list.




Adding Equipment to the Inventory


Equipment is added in Standard Values under the General Values panel. 


Go to Equipment Categories first to add general equipment types, for example Laptop, Tablet, AAC. Click Add Value to add a new equipment category.


Once you have added equipment categories you can add specific equipment items under those categories. 


Go to Equipment List to add the specific items. This produces a list of categories which have been set up above. Against each category there is a + to expand the list of items for that category. You can click the notepad icon to edit the item's details, or click the bin icon to delete it from the inventory.


Click Add Equipment from the right hand panel to add another equipment item. There are a series of fields you can complete to accurately describe the item. Click Save Changes once complete.

A more detailed description for this equipment item, for example Laptop1, or Lenovo Laptop
Serial NumberThe manufacturer's serial number for the item
Asset ReferenceYour internal asset reference for the item
Cost
The initial cost of the item
PAT TestedHas this had a Portable Appliance Testing (PAT) test completed?
PAT Test Due

When the next PAT test is due





Assigning Equipment to a Staff member


To assign an item of equipment to a Staff member, go back to the Staff record and the Equipment tab where you need to check it out, checking it back in once the Staff member has finished with it.


To check an item out for the Learner, click Check Out Equipment. You then choose the Category of equipment you wish to check out. Under the Topic dropdown you will have a list of all available items of that category that you are able to check out. Lastly choose a Date to return that the equipment has to be returned by.


Once the Staff member has finished with the equipment item you can check it back in to the pool by clicking the arrow icon against the item in the list.


Information
The inventory list as described in Standard Values will list who has what equipment and when it is expected to be returned by.
