Day Attendance Forum Notes

Hi all,

Thanks so much to everyone that took part in the forum this week on capturing Day attendance and how we can automate/improve this feature, some great points raised that should make recording day attendance a smooth, straightforward process.

Please see below for the notes captured during our discussion, and please do feel free to pop any comments on this forum.

  • Request for automatic notifications – to staff/timetable staff/parents/carers/LEA contacts

  • Option to set automatic email reminders for staff responsible for unmarked registers, including the ability to send reminders at specific times of the day

  • Option discussed to be able to assign absence triggers – for example – ‘if student is absent for X number of days in a row (or X number of days within a period of Y days), send email notification/display on widget

  • Similar to above, a weekly breakdown of any unmarked registers would be a useful feature

  • Discussion around what sign in systems are being used, in order to determine which companies we should investigate creating APIs for. This would look to sync up any sign in from students, to prefilling registers on Databridge.
    • List of potential systems gathered on the call:
      • InVentry
      • Paxton Net2
      • Entry sign
    • ^Please add any additional sign in systems that you use to the comments section on this post

  • Default and pre-set filters (similar to as discussed on student record) to be made available. Feature to be able to create user defined groups for filtering was a well received addition as well (this would be implemented across Databridge, not specifically for Day Attendance)

  • Settings for attendance – ability to bulk set daily tab settings, with scope to link settings based on the programme/department/group of the student if possible.

  • Parent portal – give parents visibility of attendance tracking data - submit attendance tracking messages that are to be included as notes

  • Register taking will be designed and optimised for desktop and handheld device formats

  • Send automatic notifications to internal transport links

  • Ability to filter day attendance widgets by attendance status, to give better visibility of pending actions

  • Ability to configure actionable steps that are linked to an attendance status. When this status is then recorded, it would automatically assign actions to the relevant staff member, and allow you to track progress of any required follow up

  • Separate notes textboxes for AM and PM fields, rather than one shared notes box

  • Discussion around linking event logs to attendance – in this instance, to specifically automate any approved leave forms recorded as an event log

  • Ability to have one dropdown for the whole day, rather than AM/PM

  • Discussion around having the ability to upload documents for attendance statuses – eg. To upload doctors notes to

  • Pop up to justify attendance status changes – this needs to made more obvious than the existing functionality

  • Filters for unmarked attendance and ability to enter the statuses for these from one screen, rather than have to flick between registers

  • Be able to bulk select students from the register screen in an easier, more intuitive way than current checkbox functionality

  • Double prompt for bulk updating attendance to limit user error

  • Collect all attendance settings into one area (similar to ILR/census tabs) to give a better overview of what attendance settings are in place for each student

Huge thanks again to everyone that took part

Many thanks,

The Databridge Team
